SMART QR-BASED RECORD & ASSET MANAGEMENT SYSTEM
The Smart QR-Based Record and Asset Management System was designed and developed by ShriTEK Innovations, a student startup incubated at Shridevi Institute of Engineering and Technology (SIET), Tumakuru. The system was developed to support hospitals and healthcare institutions in the secure identification, tracking, and management of assets, patient records, and institutional resources through an intelligent QR-code-based infrastructure.
The platform implements a scalable QR coding architecture using alphanumeric series patterns such as A–Z, AA–ZZ, and AAA–FFF, enabling the management of more than 13,000 unique records. Each QR code is associated with a dedicated URL structure, such as scan.shritek.com/a1.0, scan.shritek.com/b1.0, continuing through multiple alphabetic combinations up to scan.shritek.com/fff1.0. This structured naming convention allows large datasets to be organized efficiently and distributed across multiple CSV files for simplified maintenance and retrieval.
The backend application was developed using PHP, which processes QR scan requests, identifies the corresponding CSV source, and retrieves the required record securely. The data repository consists of alphabetically organized CSV files, where each file can contain numerous asset or record entries. A Python Jupyter Notebook (IPYNB) solution was developed to automate the generation of QR codes from CSV datasets, allowing rapid creation and deployment of thousands of unique QR codes with minimal manual effort.
By integrating QR technology, centralized data management, and secure web routing, the system provides instant access to information through simple QR scanning while preventing unauthorized data exposure. The platform also supports controlled and password-protected record updates, making it highly suitable for healthcare institutions that require accuracy, accountability, and operational efficiency. The solution significantly reduces manual workload, improves asset traceability, and enhances real-time information availability during daily hospital operations and medical outreach programs.
